5. Payments

Payments for consultations are processed securely through Cliniko via Stripe or by direct bank transfer. Oleve Health does not store full credit card details. Payment information is managed in accordance with the privacy and security practices of our payment service providers.

6. Telehealth

Telehealth sessions are conducted via Cliniko’s secure platform from a private consult room. While reasonable steps are taken to ensure security, no online system can guarantee absolute protection.

Clients are responsible for ensuring they attend Telehealth consultations in a private environment and for maintaining the security of their own devices, internet connection, and communication systems.

7. Disclosure of Information

We may share your information with:

  • Third party contractors engaged to perform functions or provide services relating to the purposes for which we collect personal information. If this is the case, we will do our best to ensure that their privacy policy adheres to similar standards of privacy protection and will request they comply with this Privacy Policy;

  • Third party service providers or affiliates within or outside of Australia and who work on behalf of or with us to provide some of our administrative and other services, such as processing payments (such as credit card payments). We require such service providers to agree not to use such information except as necessary to provide the services to us;

Some of our third-party service providers may store or process information outside Australia. We will destroy or de-identify your personal information when it is no longer needed for the purpose for which it was obtained, except where we have a legal obligation to retain such information, such as your health information. Health records are retained in accordance with applicable Australian legal and professional obligations. Adult client records are generally retained for a minimum of seven (7) years from the date of the last consultation. Records relating to minors may be retained until the client reaches 25 years of age, or for the period otherwise required by law. We will never permanently store complete credit card details.

Some personal information may be collected, stored, processed, or backed up using cloud-based systems located outside Australia. While we take reasonable steps to ensure overseas service providers maintain appropriate privacy and security standards, privacy protections in other jurisdictions may differ from those available under Australian law.

Oleve Health may use secure digital systems and software platforms to support the delivery of healthcare services, administration, record keeping, appointment management, and communication. Any third-party providers used for these purposes are selected with consideration for privacy and security obligations.

12. Access & Correction

You can request access to, or correction of, your personal information by contacting us via email.

We will take reasonable steps to ensure that any personal information we collect is up-to-date, complete relevant and not misleading, and any personal information that we use or disclose is up-to-date, complete, relevant, and not misleading.

You may contact us using the details set out below to seek any of the following:

  1. Access: You can ask to be provided full information about your personal information that we hold.

  2. Change or correct information: You can also ask us to change or correct any information we hold about you.

  3. Delete your personal information: You may request that we delete or destroy your personal information. However, as a clinical nutrition practice, we are required by law and professional record-keeping obligations to retain health records for a minimum of seven (7) years from the date of your last consultation (or for any longer period required by applicable law).

    Where we are legally required to retain your information, we may not be able to delete it immediately upon request. In such circumstances, we will securely store the information and restrict its use to purposes required by law, regulation, or legitimate business needs. Once the applicable retention period has expired, we will take reasonable steps to securely delete or de-identify the information.

    Please note that due to backups and records of deletions, it may not be possible to completely remove all copies of your information immediately. However, where deletion is permitted, we will functionally delete the information and will not sell, transfer, or otherwise use your personal information except as required by law.

We will respond to any request to access information within a reasonable time.

Where permitted by law, we may charge a reasonable administrative fee for providing access to your personal information.

To protect your Personal Information, we may require identification from you before releasing the requested information.
